Job Description:

Position Summary:-- ---- -- Responsible for performing a variety of administrative duties essential to operations. Responsible for monitoring physician and mid-level provider professional requirements including maintaining updated CVs, licenses, DEA registrations, and continuing education (CME) hours. Serves as a representative and Care Center liaison to hospital administration and staff.-- Maintains adequate quantity of various supplies and restocks when necessary.-- Routinely assists the Care Center Director with errands and administrative tasks as needed.-- Exhibits a high level of professionalism, organization, and integrity.-- Also processes medical record requests for patients, attorneys and other entities as required. Performs some or all of the following job duties as well as other administrative duties as directed by specific Care Center. -- -- Essential Functions and Key Responsibilities: -- -- Works closely with physicians and mid-level providers assisting them with fulfilling requirements for licenses, DEA registration, and CME hours.-- Keeps physician CVs updated.-- Works with hospital staff to schedule resident physicians and medical students with time slots for observing and/or shadowing various providers in accordance with the Medical Center's academic standards and residency program requirements.-- Routinely performs clerical administrative tasks for Care Center Director, providers, and other office personnel. Tasks include but are not limited to word processing, copying, filing, scanning, faxing and data entry.-- Maintains stock and orders business office supplies for Care Center.-- Also orders postage for the postage meter.-- Provides back-up to switchboard operator.-- Maintains a professional attitude and personal appearance as well as an orderly work area.-- Acts with integrity and represents the Care Center in a positive manner to hospital administration, staff and outside entities.-- Maintains confidentiality in accordance with Care Center policies and HIPAA requirements.-- Schedules patients for Impairment Ratings when necessary and handles all documentation and payments for these visit types.-- Maintains physician calendars.-- Handles scheduling of interviews, depositions, and meetings.-- Serves as a resource for providers, staff, and management. -- Qualifications: Knowledge, Skills and Personal Characteristics: -- -- Knowledge of Care Center operations and policies and procedures.-- Knowledge of physician and mid-level provider professional requirements. Must be conscientious in keeping all requirements current.-- Basic knowledge of medical terminology.-- Knowledge of and proficiency in the use of the EHR software.-- Proficient in the use of various forms of office technology including Microsoft Word, Excel and Google products including but not limited to Google Calendar.-- Should have a working knowledge of computer operating systems, printers, copiers, phone system, postage machine, etc. as well as the ability to assist physicians and other staff members with these when necessary.-- Must be dependable both where punctuality and attendance are concerned. Must be trusted to complete tasks in a timely manner and with a high degree of accuracy.-- Must be motivated, a self- starter, and able to work with minimal supervision.-- Able to maintain the strictest level of confidence.-- Maintains a professional personal appearance and orderly, organized work area.-- Exhibits strong communication and interpersonal skills when interacting with patients, physicians, co-workers, and outside parties.-- Adheres to all policies and procedures, including but not limited to standards for safety, personal conduct, attendance, punctuality, and personal appearance.-- Assumes responsibility for personal development and own actions.-- Promotes good public relations and customer service at all times -- Education and Experience -- High School Diploma or GED.-- Experience in a medical office setting preferred. -- Supervision Received:-- Reports to the Care Center Director or Sr. Manager of Surgery Scheduling. -- Knoxville News Sentinel.Category: Administrative, Keywords: Medical Secretary
