SUMMARY

The Secretary III provides administrative and secretarial support to faculty and administrative staff, including special projects, office workflow, appointments, correspondence, manuscripts, grant proposals, budgets, data compilation and records control. May perform duties of a sensitive and confidential nature.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

Responsible for the integration of CNI Core Competencies into daily functions, including: commitment to integrity, knowledge / quality of work, supporting financial goals of the company, initiative / motivation, cooperation / relationships, problem analysis / discretion, accomplishing goals through organization, positive oral / written communication skills, leadership abilities, commitment to Affirmative Action, reliability / dependability, flexibility and ownership / accountability of actions taken.

Conducts an array of administrative duties including, entering Security Clearance Information in the Personnel Security Database, types and sends letters/emails, processes outgoing and incoming mail, opens and distributes mail to Specialists, and performs photocopying.

Enters and maintains Suspense Dates into Suspense Database.

Files and destroys, when appropriate, Personnel Security Information in Personnel Security Files.

Performs other administrative duties, as assigned.

Demonstrates proficiency in the use of Windows, Microsoft Office applications, email, fax transmission and other common office technologies.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.

EDUCATION / EXPERIENCE

High School Diploma or General Education Degree (GED) and three (3) years' writing experience and relevant administrative support experience in a professional business environment, or equivalent combination of education / experience.

CERTIFICATES, LICENSES, REGISTRATION

Must be a US citizen and possess or be able to obtain/maintain a security clearance

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

Knowledgeable in the analysis of business and user needs, documentation of requirements and translation into proper system requirement specifications

Fundamental analytical and conceptual thinking skills

Experience creating detailed reports and giving presentations

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume and distance.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

PHYSICAL DEMANDS

Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers printers and light traffic.
