The Department of Kinesiology, Recreation, and Sport Studiesis seeking qualified applicants for an Administrative Specialist I. The department serves over 1400 undergraduate and 160graduate students, and is comprised of 24 full-time faculty, seven staff, andover 60 part-time faculty and graduate associates. The department also includesthe Physical Education Activity Program, which serves over 5,000 studentsacross campus each year. This position provides administrative support for the department'scentral operations. The position primarily functions to process travel relatedfinancial reimbursements in IRIS for departmental employees, students, friends,and visitors. This position must stay abreast of issues related to travelreimbursements and expense reimbursements, and will be the department expert onUT Travel policies and procedures, requiring correspondence within and outsidethe university as needed to complete the reimbursement process. Duties andResponsibilities: Travel: * Creates and submits travel requests and travelexpense reports * Implements departmental travel procedures * Maintains and manages individual travel budgetsfor all faculty, staff, and students * Coordinates travel for all guest travelers(search candidates, guest speakers, etc.), such as hotel reservations andairline tickets * Provides guidance to faculty, staff, andstudents with policies, procedures, and form completion throughout the travelprocess FinancialSupport: * Collects and processes payments for studentliability insurance, receipts monies and prepare deposits for IRIS entry * Reconcile monthly ledgers for assignedaccounts * Assists with time entry Administrative: * Maintains files and databases as needed by thedepartment, including sending to Records Management for storage * Coordinates with various university departmentson maintenance, telephones, OIT, surplus, and records management needs. * Serves as front desk receptionist: answers anddirects phone calls, receives and distributes mail/shipping, prepares mailing/shippingas needed. * Assists with departmental events by bookingvenues, arranging catering, preparing invitations, preparing venue set-up, andacting as point-of-contact during events. * Alumni correspondence and tracking AcademicSupport: * Provides direct support to faculty and staffoverseeing the process of undergraduate major admissions and to all program areasregarding current students * Acts as the department liaison for SAIS, missinggrades, attendance tracking, and room scheduling for faculty, staff, andstudents * Collecting and maintaining syllabi * Access student records in Banner to determineprerequisites have been satisfied, minimum GPA met, verify eligibility fordepartmental academic awards * Generate enrollment reports, class rolls, andwaitlists * Responsible for course overrides in Banner * Set up Independent Study and Directed Researchsections, maintain associated records Qualifications Required (Knowledge,Skills, and Abilities): * Effective organizational, prioritization, andproblem-solving skills * Proficiency with common office and databasesoftware * Strong written and verbal communication skills,and ability to communicate with multiple audiences * Ability to work independently and as a teamplayer * Ability to adapt to changes that might occur inthe office environment, and be able to work with deadlines * Ability to expand knowledge in needed areas suchas learning new software programs * Proficient with spreadsheets and ability tocompile data and generate reports * Ability to take initiative Preferred (Knowledge,Skills, and Abilities): * Knowledge of IRIS, Adobe Acrobat Professional,Banner, Argos, Admit, AdAstra * Knowledge of UT fiscal and human resourcespolicies MinimumRequirements: High schooldiploma and at least two years of office experience. PreferredRequirements: Associate'sDegree in a Business or related field and at least one year of experience withBanner and IRIS systems.SDL2017
