Job Description:

To provide technical - clerical functions including general clerical duties for the Facilities director and staff.----Communication hub for faculty/staff/students to receive and dispatch emergency and non-emergency requests relayed to the Facilities Staff. Assist in processing work requests, housekeeping requests, scheduling events and extracting information from 25 Live.----Assist with vendor and contractor communication and scheduling, as well as e-procurement processes. Assign college fleet reservations. Facilitate communication within the Facilities department.-- Position #:--600360 Location of Position:--Hardin Valley Campus Typical Duties & Responsibilities: 35%--Review and prepare forms and operational records for budgets, grants, purchases, work orders, check on-line leave reports monthly for director's approval, ; process operational records, enter into PelliBiz the yearly open purchase orders and as needed during the year and prepare information and take minutes for staff meetings.----Take minutes at room reconfiguration meetings.--Answer phone calls for Facilities Department, answer the majority of the questions on the spot.----Some calls have to be passed to supervisors. 25%--Schedule vehicles for the motor pool, process related paperwork, and provide monthly and yearly report for review and approval. Prepare monthly gas inventory and end of the year gas inventory. 15%--Review correspondence, memoranda, and reports prepared by others for supervisor's signature; review and route incoming mail. 10%--Determine types of data, forms, records, or methods to be used and collect and compile information or data.----Maintain office filing systems. 5%--Make arrangements for travel, conferences, appointments, special events or other business activities; keep appointment schedule and develop itineraries. 10%--Other duties or special projects as assigned by direct supervisor, facilities staff and Vice President of Business and Finance; serve as back up for various areas in the Facilities Department when employees are on leave. Note: The College reserves the right to change or reassign job duties, or combine positions at any time. Required Qualifications: HS Diploma, data base/computer training, Microsoft office products. AS Degree preferable.Two years of training involving both on-the job- experience and informal training in a clerical position related to customer service. Secretarial positions in Higher Education or maintenance industry preferred.----Experience with Microsoft Suite products, computers, phone systems, and e-mail. Experience in 25Live or other scheduling software beneficial. Part-time work experience is calculated at 50% credit of full-time work experience. Key Result Areas: It is essential to have a customer service oriented person to serve the faculty, staff and student population of Pellissippi State.----It is also a must to have someone who can keep up daily with the college motor pool and lend them out efficiently. It is essential to have someone to answer the emergency and daily calls for the Facility Department. This insures immediate response and safety in some cases (eg. wet floors) of the faculty and staff. The person in this position is the communication hub between the college Faculty/staff/students and the Facilities Department. This is a positive impact on the college because it maintains a safe learning environment. Scope of Responsibility: Employee will follow College and TBR policies and procedures that guide this position. Employee should have good critical thinking skills, ability to interpret college and TBR policies. Communications with supervisors, peers, outside customers including TBR personnel.----Applicant would work with essentially all departments on the PSCC campuses.----Oral and written comprehension is a must.----Knowledge of who to get specific problems that arise to the proper supervisor.----Proficient in Micro Word products, R25 scheduling software, etc.----Keep up to date with new versions of software used in Facilities. Pay Rate:--$27,830 - $33,790.00/per year. Pay will be determined based on related work experience above required.
